Booking & Cancellation Policy
Please read our booking terms carefully before making a reservation. These policies apply to all three Summit Hotels properties in Darjeeling.
1. Reservation & Confirmation
All reservations are subject to availability. A booking is confirmed only upon receipt of the required advance payment and issuance of a written confirmation by Summit Hotels via email or WhatsApp. Verbal or informal requests do not constitute a confirmed reservation. Please ensure the name, dates, room type, and number of guests on your confirmation are correct and contact us immediately if any details are inaccurate.
2. Advance Payment
To secure your reservation, an advance payment of 65% of the total booking value is required at the time of booking. The remaining 35% balance is due at check-in. For bookings made within 24 hours of the arrival date, full payment may be required upfront. Advance payments can be made via bank transfer (NEFT/IMPS/UPI), credit/debit card, or other methods as communicated by our reservations team.
3. Cancellation & Refund Policy
Cancellations must be communicated in writing (email or WhatsApp) to our reservations team. The following cancellation and refund terms apply: (a) Cancellation before 24 hours of arrival — 100% of the advance payment is refunded in full, with no deductions; (b) Cancellation on the same day as arrival (within 24 hours) — 90% of the advance payment is refunded; a 10% processing and administrative charge is retained; (c) No-show (failure to arrive without prior cancellation) — the full advance payment is forfeited and no refund is provided. Cancellation timings are calculated based on the scheduled arrival date at 12:00 noon IST.
4. Refund Processing
Eligible refunds will be processed within 7–10 business days of the cancellation request being approved. Refunds are issued to the original payment method. Summit Hotels is not responsible for delays caused by banking institutions. For same-day cancellations, the 90% refund will be processed within the same 7–10 business day window after confirmation of the cancellation request.
5. Modifications to Bookings
Requests to modify reservation dates, room type, or number of guests are subject to availability and must be made at least 24 hours before the original arrival date. Modifications are not guaranteed and may result in a rate adjustment. Date changes within 24 hours of arrival will be treated as a cancellation of the original booking and a new reservation, subject to the cancellation policy above.
6. Check-In & Check-Out
Standard check-in time is 2:00 PM IST. Standard check-out time is 11:00 AM IST. Early check-in and late check-out are subject to availability and may incur additional charges. Guests arriving before 2:00 PM may store their luggage at the property. Guests are required to present a valid government-issued photo ID (Aadhaar, Passport, Driving Licence, or Voter ID) at check-in. Foreign nationals must present a valid passport and visa.
7. Group Bookings
For group bookings of 5 or more rooms, special terms and conditions apply. A non-refundable deposit of 30% of the total booking value is required to hold the reservation. Cancellation of group bookings within 30 days of arrival will result in forfeiture of the full deposit. Please contact our reservations team directly for group booking enquiries and customised packages.
8. Special Requests
Special requests (such as room preferences, dietary requirements, anniversary or birthday arrangements, or accessibility needs) can be noted at the time of booking. While we make every effort to accommodate special requests, they cannot be guaranteed and do not form part of the booking contract. Additional charges may apply for certain special arrangements.
9. Force Majeure
Summit Hotels shall not be liable for cancellations or modifications necessitated by circumstances beyond our reasonable control, including but not limited to natural disasters, government-imposed restrictions, civil unrest, epidemics, or severe weather conditions. In such cases, we will endeavour to offer alternative dates or a credit note. Refunds in force majeure situations will be assessed on a case-by-case basis.
